What should a payment reminder say?
The invoice number, amount, invoice and due dates, how many days it is overdue, how to pay, and what you want to happen next. Keep the first reminder friendly and become firmer only if it is ignored.
When should I send the first reminder?
A few days before the due date as a courtesy, then on the due date or the day after if nothing has come in. Do not wait weeks: the longer the gap, the harder the conversation.
Can I charge a late fee?
Only if your contract, quotation or invoice terms say so. Quote the clause in your letter. A fee you never mentioned before the work is hard to enforce and can upset a good client.
How is the late fee worked out here?
As a simple percentage a month on the unpaid amount for the days overdue (a month taken as 30 days), or as a flat amount you choose. Use the rate in your agreement.
Is the letter a legal notice?
No. It is a business reminder. A formal legal notice should be drafted with a lawyer, who can also tell you which interest or recovery rights apply to your case.
